Online Faxing in the Age of E-mail

In the incessant march of progress, it often seems that only the latest

, greatest and newest gizmos and gadgets are considered worthy of attention. This is a popular misconception impressed on the public by the flood of media, paid advertising and otherwise, that touts the wonders of the latest inventions. The fact is, however, that many of the things we take for granted daily and depend up to a great degree are often quite mature technologies. The ovens and gas stoves, home plumbing, water filtration systems and electrical wiring we count on in our houses are all based on 100-year-old technology. This is not to say that refinements in design and manufacturing have not pushed these devices to heights. It does mean that we should not condescend to technologies that are older than last night's news.

This is the interesting thing about modern communications. We have amazing new wireless iPads and netbooks, signaling a new direction for media companies and media consumers. On the other hand, we still rely on newspapers (for a while yet) printed on good old paper, CDs on 30-year-old discs and giant billboards by the side of the road (no Burma Shave ads, though). We still have, as well, fax machines by the tens of millions, even though there are now e-mail, Skype video phone calls and other cutting-edge communications tools.

Online faxing is a bridge

Online faxing is a bridge between the old and the new, and is an important tool for every business. There are millions upon millions of fax machines in the world, and in some places (Asia, Africa, Eastern Europe) they are the only modern form of communication reaching to the rest of the world. The Internet is spreading, true, but the phone systems in most of the places are far better than the cable and broadband infrastructure, and the technology for faxes to access the phone lines is simpler and more robust than a computer modem. This is why fax machines are still being used in huge numbers.

Companies doing international business need to reach these far-flung and tech-challenged customers just as they need to reach others. With online faxing, a firm can reach all the fax machines in the world and, just as importantly, be reached by them, too. Yes, broadband Internet will eventually reach most of the world (we cannot know when, of course) and until then, as previously mentioned, online faxing will be the bridge between the older and newer communications technologies.

Smart translations

In the same way that we need to translate other languages into the one we know, online faxing services need to translate documents into a form that can be displayed properly in another medium. That is, using your online fax service to send Word or graphics files to a fax machine requires the software to translate the file format so it can be displayed on paper, rather than a computer screen like an e-mail. This is something like the process that computers go through to print documents.

Going the other direction, a person sending a fax from a machine in northern Poland relies on the software at the receiving end to translate the document from a bitmap image (literally a map of pixels, at 200 dots per inch, that make up the machine's scan of the printed document) into a message that displays on the recipient's computer screen. The modern online fax services can do this with a wide range of document formats from the world's leading software packages. There are very few documents that you can attach to your outgoing online fax that would make the system choke. The software is extremely sophisticated.

Low cost, wide coverage

For the nominal cost of an online fax service (virtually unlimited-use accounts are rarely more than $20-30 per month) your firm can stay in touch with the tens of millions of people around the world who have fax machines but no Internet service. This is a huge number of potential customers and clients. Every company's marketing and outreach plans should include these targets, as they exist in every country and represent many different kinds of people and enterprises. It is far cheaper to be prepared for them than it is to miss possible sales and other opportunities.

Online faxing is not a luxury, and is not a gadget. It is a serious business tool that all companies should be using. It has a variety of benefits, not the least of which is reducing or eliminating the cost of fax machine supplies (paper, ink, toner, etc.). It is also much more reliable than a breakable machine. Clearly, online faxing in the age of e-mail is still a smart move, and will remain so for years to come.
