Selecting A Suitable Vendor For Your Outsourcing Solutions

One of the dilemmas faced by most businesses looking to Outsource is how to select the right vendor

. Most companies that have chosen to outsource some part of their business, attribute their success to a careful and stringent selection process of the right partner overseas. The lack of using certain evaluation processes has resulted in a few companies not only having had a bad outsourcing experience, but it also affected their core business to a certain extent.

In this article I have outlined important steps to consider while evaluating vendor proposals.

Evaluating Vendor Proposals -

After receiving the final proposals from the vendors, the team in charge of outsourcing should review each proposal and evaluate which vendors are best suited to provide the desired services. Proposal reviews and evaluation process can typically range anywhere between two to six weeks. The structure and scope of the vendor evaluation process will vary depending on the customers approach, the number of vendors being evaluated, time constraints, audit and report requirements.

Evaluation Criteria

In order to facilitate the evaluation process, it is helpful to prepare a list of key criterias on which to judge the vendors and their proposals. The items included on this list should reect the customers list of objectives for outsourcing. For example, if one of the customers main objectives for outsourcing is to cut costs, then the vendors nancial proposals will likely be a key criteria. The types of criteria that a customer considers key will vary depending on the scope, value, and complexity of the proposed outsourcing transaction.

Vendor Ranking

Once the outsourcing team agrees on the evaluation criteria, the customer should rank the vendors based on their fulllment of the criteria. This ranking can be done formally or informally. To benet from the judgment of each member of the outsourcing team, many customers implement a voting system allowing each team member to submit his or her individual assessment of the proposals and vendors. The group of people participating in the evaluation process beyond the outsourcing team may include key players such as the chief executive officer and other members of senior management. Certain members of the outsourcing team may be asked to submit evaluations on certain criterias (e.g. Human resources may be asked to only evaluate the human resource portion of the proposal. The technical team may be asked to evaluate the technical portion of the proposal, etc).

Once the outsourcing team gets sufficient inputs and data based on the 3 criterias mentioned above, they can go ahead and conclude on the vendor selection. The outsourcing team and senior management should discuss the manner in which the preferred vendor or vendors are to be notied.

When making the announcement or contacting vendors, the customer should:

Reserve the right to negotiate with other vendors

Refrain from making any promises or representations regarding entering into a denitive agreement

Identify key issues that must be resolved

Emphasize that all negotiations and communications are condential

Obtain a commitment that the vendor will provide a top negotiating team that is empowered to make decisions

Discuss the proposed schedule
