Tackling Payroll With Cloud Computing

Anyone who reads the news or keeps up with technology is firmly aware that "cloud computing" is the buzzword of the decade. This innovative approach to data and information involves storing it on remote servers where it can be accessed by anyone, using any computer, so long as they have the proper credentials. Given this description of just what cloud computing is, it's easy to see why it's the natural next step for employee payroll services.

Ease of Access to Payment Information

Cloud computing enables people to access their important information from anywhere, and have it sent and synced to all of their relevant devices -- be they desktop, laptop, or mobile. Payroll systems have long been electronic, but individual employees have rarely been able to access and manage their payroll-related information using home computers -- or even office computers.

When employee payment information is stored in the cloud, employees can easily check their pay stubs from their home computer, or change their deduction, withholding, or contact information. And, because all of their information is stored online and is automatically and electronically updated, they'll be able to access their tax information, any withholding information, and the forms that they'll need in order to file their year-end tax returns with federal, state, and local governments. No more mailing employee tax forms at the end of the year -- simply alert employees to check online and make them aware that they can now file their taxes earlier, and more easily, than ever before.

Cloud-Based Payroll Software Increases Business Efficiency and Lowers Margins

Consider that, before the cloud, all employee information related to payments and taxes had to be disseminated via paper means. That meant long hours of printing forms and statements, followed by more long hours of stuffing those documents in an envelope, and then paying for postage on each employee document and record. That is simply an outdated way of doing business and it's a highly inefficient method as well.

With cloud-based payroll software, paper is virtually eliminated. Employees no longer need to rely on paper communications and most of them will actually opt out of receiving such documents when they have the option of accessing them electronically. It cuts down business expenses on things like paper, ink, and postage, and it increases the efficiency of mailrooms, secretaries, and even the traditional accounting, payroll, and human resources departments that most businesses rely on. When a new technology means less efficiency and more budgetary savings, it's a winning development for all sides.

When employees no longer have to request their records individually from human resources, and when executives no longer have to sort through stack after stack of pay stubs and tax forms, everyone wins.
